Webinar Automation

Webinar automation – from scheduling to follow-up

Automation doesn't replace your content — it replaces repetition. Anything you redo manually after every single webinar — reminding, following up, sorting — is a candidate for automation. This guide shows which steps are worth automating and in what order to introduce them.

What can be automated

  • Scheduling, including a just-in-time start right after registration
  • Confirmation with an access link immediately after sign-up
  • Reminders 24 hours, 1 hour, and 15 minutes before the start
  • Follow-up based on attendance, drop-off, or no-show
  • Segmentation into buyers and non-buyers based on payment confirmation
  • One-click unsubscribe, no questions asked

A reliable rollout order

  1. 1Make sure confirmation and access links work — nothing functions without this.
  2. 2Set up the reminder sequence; it has the most direct effect on attendance.
  3. 3Create two follow-up paths: attendees and no-shows.
  4. 4Remove buyers from all sales sequences immediately.
  5. 5Only then add finer branching.

Combining email and WhatsApp effectively

Email carries the content, WhatsApp carries urgency. In Sellora, email is sent through your own Resend account, and WhatsApp is optionally handled via the Meta Cloud API with a separate opt-in. Without opt-in, no WhatsApp message is sent — that's not a setting, it's a prerequisite.

Rule of thumb: send at most one message per channel right before the session. Multiple notifications in the same window feels like pressure, not service.

Segmenting by behavior

A contact who watched for 40 minutes and clicked the offer needs a different message than someone who didn't show up at all. Sellora evaluates these signals in the contact record and tags leads accordingly, so the follow-up sequence can act on them.

Frequently asked questions

How many reminders is appropriate?
Three is common: the day before, one hour before, and right before the start. More tends to increase the unsubscribe rate rather than attendance.
What happens to buyers in ongoing sequences?
They should be removed from sales sequences immediately. Otherwise, they keep receiving offers for something they've already bought.
